A simple expense-recording routine can make pricing, profit reviews, and tax preparation easier.
Keep business spending separate
Where practical, use separate accounts or payment methods for business activity. Record mixed transactions clearly instead of relying on memory.
Record the basics
For each expense, capture the date, supplier, amount, currency, category, payment method, and a short description. Keep supporting receipts or invoices according to the record-keeping rules that apply to you.
Use consistent categories
Common categories include software, equipment, advertising, professional services, travel, bank fees, office costs, and subcontractors. Choose categories that help you understand the business.
Review expenses each month
Look for recurring charges you no longer need, unusually high costs, and project expenses that should have been included in a quote.
