Before pricing, write down what is included and what is not. Identify deliverables, formats, number of pages or screens, meetings, integrations, and revision rounds. Ambiguous scope is one of the easiest ways for a fixed-price project to become unprofitable.
Estimate the work
Break the project into tasks and estimate the hours for each. Include discovery, communication, project management, testing, revisions, and handoff. Add expected out-of-pocket expenses separately so they do not disappear inside an optimistic time estimate.
Add a contingency
A contingency amount or percentage can help cover uncertainty such as small scope changes or unexpected complexity. It should not replace clear scope or a change-request process.
Handle discounts carefully
If you offer a discount, calculate it from the full project price and show the original and discounted amounts clearly. A discount should be a deliberate pricing decision, not an accidental result of underestimating the work.
Put the quote in writing
State the total price, payment schedule, scope, timeline, revision limits, assumptions, and what happens when the client requests work outside scope. This gives both sides a clearer reference point.
