How to Manage Client Change Requests

Client requests can change a project after the original scope is agreed. A simple change-request process helps you keep the scope, price and timeline aligned.

1. Record the request

Write down exactly what the client wants changed. Separate the new request from the original deliverables and note any assumptions.

2. Estimate the impact

Estimate additional hours, expenses, revision effort and any contingency you normally use. ToolAlto's Change Order Calculator can help with the price estimate.

3. Check the timeline

Extra work may move milestones or the final delivery date. Update the timeline before confirming the change.

4. Get approval

Before starting material extra work, confirm the revised scope, price and timing in writing. Keep the approval with the project records.

5. Update the project record

Update the scope, task list, invoice plan and timeline so the agreed change does not get lost in messages.
