How to Calculate Freelance Project Profitability

A project can generate good revenue without producing the return you expected. Profitability analysis combines revenue, project costs and time so you can understand what a project actually contributed.

1. Start with project revenue

Use the amount the project is expected to generate or the amount actually invoiced and collected, depending on whether you are planning or reviewing a completed project.

2. Add direct project costs

Include expenses that exist because of the project, such as subcontractors, project-specific software, materials, transaction fees or other direct costs. Be consistent about what you count.

3. Calculate project profit

The basic calculation is: project profit = project revenue − project costs. If you have additional overhead you want to allocate, document the method rather than mixing it into the calculation without explanation.

4. Calculate profit margin

Profit margin = profit ÷ revenue × 100. Margin is useful for comparing projects with different revenue levels.

5. Compare revenue with time invested

Divide project revenue by total project hours to get effective revenue per hour. Include meaningful unpaid project time when reviewing completed work, such as meetings, revisions and project administration.

6. Compare the result with your target hourly value

A project may have a positive accounting profit while still delivering less return for your time than intended. Comparing project hours with your target hourly value gives you another planning lens.

Example

Suppose a project produces $5,000 in revenue and has $400 of direct costs. Profit before any broader overhead allocation is $4,600, or a 92% margin. If the project took 100 hours, revenue per project hour was $50.
