How to Track Client Feedback and Revisions
A consistent feedback record makes it easier to see what the client requested, what you agreed to do, and what still needs a decision.

1. Capture each request
Record feedback as it arrives instead of relying on memory. Note the requested change in plain language and keep enough context to identify the relevant deliverable.
2. Record the source and date
Note whether feedback came from email, a meeting, a review document or another channel. A date makes the project history easier to follow.
3. Give each request a status
Useful statuses include new, clarification needed, approved for revision, in progress, ready for review and completed. You can also flag requests that need a scope decision.
4. Set priority and ownership
For active projects, record which items are urgent and who has the next action. This turns a feedback list into a working queue.
5. Separate revisions from new scope
Compare a requested change with the agreed scope and revision policy. If the work is not included, explain the scope difference and follow the change-request process in your agreement rather than silently adding the work.
6. Confirm unclear feedback
If a request is ambiguous, ask a focused question before making a change. Clarifying the desired outcome can prevent unnecessary revision cycles.
7. Close the loop
Mark requests complete only after the relevant work has been addressed and, where appropriate, reviewed by the client. Use your approval or sign-off process for formal milestones.
