How to Run a Freelance Project Kickoff

A project kickoff turns an agreed project into a shared plan for execution. The goal is not another long meeting; it is to make the scope, people, timing, communication and first actions clear.

1. Confirm the agreed scope

Review the project goal, deliverables and exclusions. If a request is not part of the agreed scope, record it separately instead of quietly changing the plan.

2. Confirm payment and commercial terms

Check the deposit or first invoice status and confirm the agreed payment schedule. Keep payment questions separate from project-status updates so both are easy to track.

3. Confirm roles and decision makers

Identify the day-to-day contact, subject-matter contributors and person responsible for final approval. This reduces uncertainty when feedback arrives from multiple people.

4. Collect access, files and dependencies

Make a list of the content, brand assets, credentials, technical access and other inputs needed to start. Note dependencies that could delay a milestone.

5. Agree on communication

Set the main channel, expected response times and update cadence. A simple rhythm—such as a weekly written update—can make project progress easier to follow.

6. Confirm milestones and review windows

Write down the major milestones and who needs to review each one. Include realistic client review time rather than assuming every approval is immediate.

7. Define the approval and feedback process

Decide where feedback will be collected, who consolidates it, and how approvals are recorded. Clear review rules can reduce duplicate or conflicting requests.

8. Record risks and open questions

Capture known uncertainties before work begins. Examples include missing content, third-party dependencies, unclear requirements or an approval that is still pending.

9. Finish with one concrete next action

End the kickoff with an owner and next action: collect assets, complete the first draft, schedule a review, or start the first milestone. A specific action is more useful than a general promise to follow up.
